Refunds and cancellations

Eligibility

Refunds are available to the contracting party named on the invoice (an individual or a company). Seats cannot be refunded to a third person who was not on the invoice. Consumer protections under Thai law apply where they cannot be waived; this policy describes our standard studio practice within that frame.

Timeframe

For a full refund, we must receive a written cancellation at least fourteen (14) days before the published start date of the relevant lab or short course. Requests received later are assessed as partial or declined, as set out below.

Full refund

If you cancel in writing 14 or more days before start, and you have not downloaded or been issued clinic recordings for that intake, we refund 100% of the course or seat fee actually paid, minus any non-refundable items listed below.

Partial refund

If you cancel fewer than 14 days before start but before the first live clinic, we refund 50% of the lab fee. If you have attended one live clinic and then withdraw, we refund 25% of the lab fee provided withdrawal is notified before the third clinic. After the third clinic, lab fees are not refunded. Signal Pass library access, once credentials are issued, is refundable only within 7 days and only if fewer than two office-hour slots were used.

Non-refundable items

Bank transfer charges, currency conversion costs, and any on-site Chan Rd. logistics (room hire, printed workbooks already produced for a Forecast Floor visit) are not refundable. Tax already remitted to the Thai Revenue Department is handled according to the tax invoice; we cannot invent a shortcut around statutory filing.

Refund process

Write to info@systemagentgrid.digital with the subject “Refund request”, the invoice number, named seats, and the reason. You may also use the contact form and choose the refund topic. We confirm receipt within two working days and state whether the request is full, partial, or outside policy.

Processing time and method

Approved refunds are paid back by the same method as the original transfer where possible, typically within fifteen (15) working days after written approval. If the original channel cannot be reused, we will agree a Thai baht bank transfer to an account in the invoiced party’s name.

Cancellation by Systemagentgrid

If we cancel an intake (for example if clinic numbers fall below a workable critique size), you may transfer to the next intake at no extra fee or receive a full refund of the affected lab fee, including items that would otherwise be non-refundable for that intake.

Exceptions

We may refuse a refund where materials were shared beyond named seats in breach of the terms, where a desensitised-extract rule was broken, or where the request is duplicative of a refund already paid. Serious illness or force majeure affecting a named participant is considered in good faith outside the standard percentages; we may ask for reasonable documentation.
